Job Title: Customer Service Specialist I

The Comparator Customer Service Specialist I is primarily contributor for the successful performance of the "Comparator Customer Service Admin Team" and the “Supply Chain Support Team”. The daily activities of the Customer Service Specialist will ensure accuracy of financial forecast and performance of the Comparator group. This is achieved by reviewing a project by the documentation and initiate the invoice to the client as well as reviewing the costs of the purchase and approve the invoice from the supplier. All necessary dates of the supply chain are to be entered in a KPI-Tracking sheet.

Key Responsibilities:

1 Timely Processing of supplier invoices

  • Assign supplier invoices with the correct booking allocation
  • Ensure and co-ordinate with Finance on time payments to the suppliers
  • Ensure cash-discount deduction from the invoice if applicable
  • Co-ordinate pre- payments with Finance

2  Timely Processing of client invoices

  • Prepare and verify documents required for invoicing and transfer to Finance team
  • Update and maintain finance information in IT systems to enable global performance tracking by Finance partner
  •  Prepare Key Performance Indicators for customer business reviews.
  • Invoicing of comparator products and comparator freight charges
  • Prepare folders for Invoicing and check if all required documents are available
  • Raise prepayment TBls (To Be Invoiced), product TBls and freight TBls and send them to Finance together with the necessary documentation
  • Interface with Finance regarding TBls and client invoices (point of contact)
  • Collect client specific requirements regarding invoices and make sure that they are followed
  • Ensure compliance to customer contracts

3  IT-systems update

  • Regularly update delivery scheduled dates in Sales Force, before month, quarter & year end
  • Work with Finance to ensure accurate accruals list at Month end (Customer and suppliers)
  • Entering data in KPI-Sheets

4 Diverse

  • Support Project Management for freight estimate, for specific Import- / Export Regulations or Incoterms questions
  • Apply and respect all relevant SOPs

5 Principal Contacts

  • Comparator PM team in Basel and other sites
  • Logistics department
  • Finance department
  • QA
  • Good’s in and out
  • P&P
  • Clients as required

Requirements:

  • Educated to Degree level, preferably in related field such as business, finance, supply chain, Logistics etc. or equivalent education with significant commercial content.
  • Experienced in the field of supply chain or finance (2 to 5 years), preferably within a pharmaceutical environment.
  • Ability to multitask, with attention to details.
  • Excellent communication, co-ordination and negotiation skills.
  • Good written and verbal communication skills in German and English.
  • User experience in operating an ERP system (beneficial and desirable) and good knowledge of standard office software (MS Office, MS Project etc.).
