The EHS Department is looking for temporary support for 1 year, ideally 50%-60% from now on until end of August & 100%-80% as of September. Responsibilities include, but are not limited to: MEETINGS - TRAVELS Organize phone, video and web conferences Assist members f the department for scheduling / booking travels and offsite meetings GENERAL ADMINISTRATIVE SUPPORT Provide administrative support to the Department Prepare presentation materials, print out documents/letters, have them signed and send/give them back to the requestor Welcome visitors Maintain electronic and hard copy filing system Book mtg rooms + place food and drink orders related HR Coordinate recruitment processes, schedule interviews and welcome candidates Coordinate arrival of new hires and related activities with HR and IT departments FINANCE Process purchase requisitions and follow purchase orders Process invoices Manage the expenses statements (Concur) for the department head EHS Manage medical checks + vision checks appointments (scheduling, booking, follow up) Manage event organization (Health Day, Earth Fair, other EHS programs) Schedule / manage training events Follow EHS CAPA plans with other stakeholders Support EHS Manager s for FSAP program Manage EHS database (SharePoint), perform data checks, reviews Assist in training content creation / review MISCELLANEOUS Administrative support to assigned department projects Responsible to keep the stock of office supplies up to date To be the backup for EHS projects Provide assistance related to record retention clean-out project Other duties related to the above within Celgene/BMS as a whole, as assigned 50% from April to August, then 100% as of September Skills/Knowledge Required : CFC employé de commerce or equivalent Minimum 2 years’ experience as Administrative Assistant, ideally in an international environment Must have strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required. Must be able to work with limited day-to-day supervision.
