Job Description

The Executive Assistant EMEA to the AVP/GM is a pivotal position designed to provide comprehensive administrative, sales, and project management support. This dynamic role demands a highly organized and proactive individual capable of managing the AVP’s/GM's calendar, preparing crucial documents, and coordinating key meetings and travel arrangements. Additionally, the EA will play an integral role in supporting sales initiatives, liaising with internal and external stakeholders, and driving the completion of important projects. The ideal candidate will possess strong organizational, communication, and problem-solving skills, with a background in the software or tech industry being highly advantageous. This position offers the opportunity to work independently and collaboratively, fostering relationships with various teams, clients, and partners to ensure the success of the sales business.

Responsibilities:

  • Manage the AVP’s/GM calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Organize and maintain files and records, both electronic and physical.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.EEA
  • Coordinate and assist with sales meetings, events, and conferences, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the preparation of sales proposals, contracts, and other documents.
  • Liaise with internal departments and external clients on behalf of the AVP’s/GM.
  • Educate and support regional sales team on corporate policy
  • On occasion will need to cover some wider responsibilities when it directly relates to Sales business success
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Assist in the planning and execution of sales projects and initiatives.
  • Coordinate and manage special projects as assigned by the AVP’s/GM.
  • Build and maintain strong relationships with internal teams, clients, and partners.
  • Serve as a point of contact for the AVP’s/GM, providing excellent customer service and support.

Qualifications

  • Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
  • 3+ years of experience as an Executive Assistant, preferably within a sales environment in the software or tech industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software (e.g., Salesforce).
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Excellent verbal and written communication skills.
  • High level of integrity and discretion in handling confidential information.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and clients.
  • Experience in the software industry, particularly with cloud solutions.
  • Familiarity with project management tools and methodologies.
  • Knowledge of sales processes and terminology.
  • Ability to adapt to a fast-paced work environment and manage competing priorities.
  • Fluid in English (both in writing and verbal abilities), with French and German abilities very much appreciated/preferred.
