Racing & Historic Administrative Support Trainee (Geneva - Switzerland)
Reporting to the Head of Racing & Historic and working closely with the Championship Managers, the Racing & Historic Administrative Support Trainee will provide administrative, financial and logistical assistance across several FIA championships, including Truck Racing, the FIA World Endurance Championship (WEC) and Historic Racing activities.
This traineeship offers a unique opportunity to gain hands-on experience within an international sporting organization and contribute to the delivery and administration of world-class motorsport championships.
MISSIONS AND RESPONSIBILITIES:
Championship Administration
- Support the day-to-day administrative activities of FIA championships.
- Act as an administrative contact point for ASNs, teams, promoters and FIA officials.
- Coordinate administrative requests with FIA departments and external stakeholders.
- Ensure proper filing, record keeping and document management.
- Assist with visa procedures and related administrative requirements for FIA staff and officials.
Document Management & Publication
- Support the preparation and coordination of official championship documentation before and after events.
- Manage the collection, distribution, filing and archiving of official documents.
- Assist with the publication of results, regulations, bulletins and other official documents on FIA platforms.
- Contribute to the production and formatting of FIA Team Handbooks and championship documentation.
Finance & Administrative Support
- Assist with invoicing processes, purchase orders and financial follow-up activities.
- Monitor invoice status and support payment follow-up actions.
- Liaise with the Finance Department regarding invoice and payment processing.
- Maintain administrative records related to budgets and expenditures.
Travel Coordination
- Support travel arrangements for FIA staff and officials attending championship events.
- Coordinate with the FIA Travel Department regarding flights, accommodation and transportation.
- Follow up on travel-related invoicing and reimbursements.
- Ensure travel information is communicated accurately and in a timely manner.
PROFILE:
- Currently pursuing or recently completed a degree in Business Administration, Sport Management or a related field.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Comfortable working in a fast-paced and international environment.
- Proficient in Microsoft Office applications, particularly Excel, Word and PowerPoint.
- Interest in motorsport and sports management would be an asset.
- Fluent in English, both written and spoken.
- Knowledge of French would be an advantage.

The candidate must remain enrolled at a university for the entire duration of the internship and must be able to provide a mandatory internship agreement issued by their university.
