To complete our team we are looking for an :

Administrative Assistant - University & Career Counselling Office - Part time position (50%)

We are seeking to appoint from 28 August 2024 an Administrative Assistant for the University & Career Counselling office who will become part of our successful Secondary School. We are looking for someone who will work effectively with the University & Careers Counsellor and form an integral part of the University and Career Counselling Office. While the Counsellor is student and family-focussed, helping them with their post-school pathways and applications, the Office Coordinator oversees the smooth running of the office, ensuring all relevant platforms, databases, and necessary documents are maintained.

Responsibilities:

  • Management of multiple university platforms - Ensuring each student file is up to date and correct in terms of tracking applications, as well as containing all necessary supporting documents, etc. Uploading supporting documents onto application platforms or emailing them directly to universities, as applicable.
  • Filter and manage emails and phone calls directed to the counselling office.
  • Document creation and management (transcripts, predicted grades, recommendations, diploma statements, marketing materials for university visits, etc).
  • Overseeing data tracking for the department and producing reports as needed.
  • Management of public-facing information: Google Site, University Visits schedule, Newsletters, etc.
  • Assisting students with document queries.
  • Coordinate university visits, fairs and workshops.
  • Assist in the day to day running of the office, as tasks arise including e.g supervising entrance exams and / or university interviews, conducting necessary research, etc.
  • Supporting the University Counsellors with their tasks and department projects.

Candidate Requirements:

  • Experience with the accurate management of data and systems.
  • Google Educator Level I Certification.
  • Strong ICT skills.
  • Proven ability to complete tasks to a very high level of quality and accuracy, while meeting hard deadlines and ensuring complete confidentiality and discretion.
  • Able to work independently (and to seek out help when needed), review work and provide, as well as receive, constructive feedback.
  • Able to take initiative around learning new skills and problem solving, and act proactively.
  • Fluent in English with an excellent working knowledge of French.
  • Energy, patience, a sense of humour and the ability to remain calm in stressful situations.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with the University Counsellors.
