Payroll and HR Administration coordinator

Across all functions and Business Units, the payroll and HR Coordinator plays a vital role in making sure all back office tasks are accurately completed so that the employee lifecycle are run smoothly and in a fully compliant manner  

Permanent, Full Time contract , based in Geneva

CONTEXT & PURPOSE OF THE ROLE 

The Swiss affiliate of Chanel is dedicated to the distribution of Fashion, Fragrance & Beauty and Watches & Fine Jewelry products, comprised of approximately 200 employees. 

Switzerland is also the regional headquarter of an entity composed of 5 countries (Brazil, Mexico, Panama, India and Switzerland), making up to about 1000 employees.

The purpose of this role is to support the Reward & People Solution Director in all local payroll and HR administrative aspects as well as conduct quantitative and qualitative analysis on strategic reward topics, such as budget or market benchmarks.

WHAT IMPACT YOU CAN CREATE AT CHANEL? 

Reporting directly to the Reward and People Solution Director, you will autonomously be in charge of the following aspects:

Payroll & HR Administration:

  • Overall support of payroll processes, social security and personnel insurance administration
  • Ensure accuracy of personnel administration from hire to end of employment
  • Manage vacation, overtime and absence reports
  • Support employees and managers in HR related questions
  • Processing and clarifying questions in connection with time management
  • Preparing vacation and overtime provisions
  • Processing statistics and reports
  • Participate in general HR related administrative tasks

Human Resources Information System (HRIS):

  • Serve as the master user of the HRIS; maintain, adapt, and develop processes on Workday according to requirements.
  • Monitor performance review and time management processes.
  • Manage HR databases on our HRIS (Workday)
  • Act as the point of contact with IT departments regarding changes, problems, or resolutions.
  • Provide advice and guidance to employees on any HRIS-related issues.

HR Data Analytics and Budget follow-up:

  • Provide and track HR metrics, including sociodemographic and turnover data.
  • Generate on-demand dashboards on Human Resources-related topics.
  • Benchmarking WTW, Mercer…

WHAT YOU WILL BRING TO THE ROLE

  • You are proficient in processing statements, salary payments, income tax, and social security contributions for Switzerland with an external payroll provider.
  • You demonstrate responsibility for integrating processes between HR and Finance departments.
  • You have the ability to coordinate global payroll systems through external providers and collaborate with local HR representatives.
  • You are experienced in monitoring performance review andtime management processes within the HRIS.
  • You act as the point of contact with IT departments, addressing changes, problems, or resolutions.
  • You are skilled in providing advice and guidance to employees on HRIS-related issues.
  • You are proficient in generating on-demand dashboards on Human Resources-related topics.
  • You fully master all MS Tools, in particular Excell
  • You have excellent interpersonal and communication skills.

You speak multiple languages

  • You are bilingual French and English, German a strong asset
