Administrative Assistant for the Plexus-Santé site in Bussigny
We are looking for an administrative assistant at a 40% rate (permanent contract) for the Plexus-Santé site in Bussigny. The start date is scheduled for 1 July 2026, or as agreed.
A minimum presence of 4 half-days per week is desired.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals and one of the best in the world. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading and European-scale role in medical care, medical research, and training.
The Hospital Logistics Department (LOH) is tasked with ensuring that care, teaching, and research units can fully focus on their core business by providing and developing efficient logistical operational services (disinfection and maintenance, patient transfers, sterilisation, catering, goods transport, stock management, etc.).
The joint Vaud-Geneva logistics platform, PLEXUS-Santé (PLX), is located in Bussigny. It brings together the central stores activities of CHUV and HUG on the Bussigny logistics site. Its primary mission is to efficiently supply high-turnover medical and non-medical consumables to the two hospitals. It also provides expertise to the hospital distribution chain (computerisation, automation).
Mission
- You perform general secretarial tasks and handle the physical and telephone reception of the site
- You manage time management (planning, adjustment, closing of schedules) and dissemination of holiday balances and overtime hours
- You ensure absence management (collection and sending of medical certificates, declaration of long-term absences)
- You support recruitment processes (calling candidates, preparing files)
- You manage internal and external mail and orders of consumables
- You prepare all administrative files and manage site documents (sorting, scanning, archiving)
- You provide administrative support to supplier relations and the accounting unit.
Profile
- You hold a commercial employee CFC or an equivalent qualification
- You have 5 years of professional experience in a secretarial role
- You have 1 year of professional experience in communication management, an asset
- You master the French language orally and in writing (native speaker or C2 level)
- You are proficient with common office tools (Excel, Word, etc.)
- You are willing to work irregular hours
- You have a strong sense of reception and proven telephone ease.
