Your main missions will be as follows:
- Welcome and guide users according to the current institutional directives;
- Ensure the administrative management of consultations within your scope;
- Apply the quality directives and procedures in force;
- Have an active role in the reception-admissions sector activities;
- Ensure the training of new collaborators, interns, apprentices in accordance with institutional procedures in collaboration with your hierarchy;
- Ensure good transmission of information with team members to guarantee continuity of activities;
- Actively participate in administrative team meetings and inter-team meetings;
- At the request of your hierarchy, actively participate in working groups related to organizational developments and/or projects related to infrastructure;
- Carry out administrative tasks related to institutional management tools and according to site needs;
- Manage the administrative tasks of patients, in accordance with the procedures and directives defined by the institution;
- Perform various secretarial tasks included in the sector's activities and necessary for its proper functioning;
- Manage incoming mail, ensure its proper distribution and any follow-up;
- Guarantee the processing and follow-up of documentation related to the sector's activities;
- Filter and prioritize information (emails, faxes, phones, mail);
- Supply/order: management of office material orders, institutional documents, and/or IT;
- Participate in the improvement and/or adaptation of management tools and methods in collaboration with your hierarchy.
Your assets:
- Holder of a CFC in commercial/office employee or equivalent training. Experience in a medical office and/or hospital environment would be a plus;
- Minimum of 2 years of experience in a similar position;
- Very good knowledge of the Office suite;
- Mastery of the French language, both spoken and written. Knowledge of English would be an asset;
- Ability to know your limits and express them;
- Aptitude to relate to others and create a climate of trust;
- Ability to work in a team and in an interprofessional manner;
- Sense of priorities and openness to change.
