With nearly 1,400 employees, the Department of Rehabilitation and Geriatrics is a medical center focused on the elderly and is composed of 6 services spread over 5 sites: Trois-Chêne, Loëx, Bellerive, Beau-Séjour, and Joli-Mont. It manages acute situations, notably through the emergency services of the Trois-Chêne hospital, age-related specific problems, medical rehabilitation, and palliative care.
Job Description
Thanks to your interpersonal skills and proactivity, you actively contribute to the smooth running of the secretariat. You independently manage schedules, handle telephone calls, correspondence, and the mailboxes of the deputy head of care.
You prepare and organize meetings, ensure follow-up, and write minutes of conferences, sessions, and working groups.
Comfortable with Microsoft 365 tools, you propose and implement management solutions adapted to the teams' needs while ensuring their follow-up.
You ensure the updating of the service dashboards, monitor staff activities, and facilitate the smooth flow of information, both upward and downward.
You also participate in the management and planning of training sessions, notably by tracking registrations and sending invitations.
Finally, your sense of service and versatility allow you to adapt to the institution's needs and effectively intervene within different departments.
Qualifications
You hold a Federal VET Diploma (CFC) as a commercial employee or a diploma from a higher commercial school. An ECDL certification, Advanced level for Word and Standard for Excel, is required.
You have several years of successful experience in a similar role.
You have excellent command of French, both spoken and written, and possess excellent writing skills.
You have a very good command of Microsoft 365 tools as well as HUG applications; knowledge of the Vision RH software is an asset. You are also comfortable with collaborative tools such as Teams, SharePoint, and OneDrive.
Autonomous and proactive, you are recognized for your flexibility, organizational skills, and ability to manage priorities.
You handle unforeseen events efficiently and manage stressful situations calmly.
Finally, you demonstrate a strong sense of confidentiality.
