Job Description
- Participate in weekend, public holiday, and variable shift rotations specific to the activity of the services
- Welcome, guide, and care for patients, their relatives, and external stakeholders with professionalism and kindness
- Handle telephone reception and provide information to patients
- Create, update, and manage the administrative follow-up of patient files
- Manage appointment bookings, schedule changes, and planning of consultations and examinations
- Prepare consultations and outpatient admissions
- Ensure the administrative registration of patients in the Emergency, Polyclinic, and Radiology departments
- Manage radiological examination requests and ensure the administrative follow-up of files
- Work closely with doctors, nursing staff, and various clinic departments
- Process emails and various administrative requests
- Scan, file, and archive medical documents
- Guarantee data confidentiality and compliance with institutional procedures
- Contribute to the smooth running of the secretariats of the Polyclinic, Emergency, and Radiology by performing various administrative tasks
- Provide cover and support within the different outpatient secretariats as needed by the service
Qualifications
- Availability to work variable hours, weekends, and public holidays
- Medical secretary diploma or equivalent training
- At least one year of experience in a medical secretariat, ideally in a hospital environment
- Proficiency in English, minimum level B1
- Excellent command of IT tools (Word, Excel, Outlook) and ease with specialised software
- Excellent writing skills, perfect spelling, and good knowledge of medical terminology
- Organisational skills, rigour, and autonomy
- Versatility and ability to adapt quickly to different work environments
- Ability to manage multiple priorities simultaneously in a dynamic environment
- Excellent stress and emergency situation management
- Service orientation, welcoming attitude, and confidentiality
- Excellent interpersonal skills and team spirit
- Flexibility, availability, and adaptability
- Excellent presentation
- Knowledge of Opale, Xplore, OneDoc software or a hospital EHR: an asset
