Your profile
Holder of a commercial employee CFC (or an equivalent qualification), with approximately 5 years of professional experience in a dynamic environment, preferably in academia, your strengths are:
- an excellent sense of service and easy contact with people from different backgrounds;
- good priority management, a structured mind, precision and agility in performing very diverse and often simultaneous tasks;
- versatility: you are comfortable with both numbers and letters, and enjoy working both independently and as part of a team;
- dynamism and intellectual curiosity: you are eager to acquire new skills and constantly keep yourself informed of procedures and innovations related to work tools;
- proficiency in IT tools (Word Suite, SAP, Jahia, FMPro, DépôtDoc, DocSeries);
- kindness and willingness to invest yourself with colleagues;
- written and spoken English required. Another language is an asset.
Your activities
You will be part of a team of 4 people providing administrative support to our Institute. You will be the point of contact for all administrative functioning questions of the Institute, the Faculty, and the University.
You will also handle the administrative aspect of the four Research Units (UR) assigned to you (CRHIM, CWP, OVPR, OBELIS).
Your commitment will lead you to take charge of varied administrative activities related to:
- The general secretariat: reception of the secretariat and follow-up of administrative matters inherent to the smooth running of the institute: distributing mail, welcoming and informing collaborators, organising the paper and electronic filing of various documents (GED, Sharepoint), updating notice boards, participating in meetings, taking minutes, formatting documents, etc...
- Communication: updating websites, publishing news for the concerned URs, participating in the organisation of scientific events, organising stays, booking hotels, etc...
- Finance: preparing, controlling or verifying expense reports, invoices, reimbursements, allocations, preparing financial projections for the funds of the URs you manage and following up with project managers, verifying accounts and payments of ongoing invoices.
- Teaching: verifying registrations, updating teaching assistant databases (SylviaAcad, Unisciences), collecting exam topics, preparing, merging and printing them for timely transmission to the Dean's Office. Preparing or updating supervision allocation tables, various tasks related to exam management, etc...
- Institute management: managing the supply room, photocopiers, small electronic equipment on loan, access to premises, signage. Keeping the equipment inventory up to date. Managing the institute cafeteria and conference room bookings.
