File manager for the CIT-S
The Directorate of Construction, Engineering, Technical and Safety of the CHUV (CIT-S) is looking for a file manager with a workload between 80% and 100%, under a permanent contract, for a start date scheduled for 1 August 2026.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and the EPFL, the CHUV plays a leading role in the fields of medical care, medical research and education.
The Directorate of Construction, Engineering, Technical and Safety of the CHUV (CIT-S) has as its main activities operation, maintenance, construction, engineering, technical assistance and consulting.
The 3 main missions of CIT-S:
- Construction and modernisation: ensuring the study and realisation of architectural projects, as well as the renovation of technical installations
- Operation: ensuring the maintenance of technical and biomedical equipment, as well as the infrastructures of the CHUV and its affiliates, and guaranteeing the production and distribution of fluids and energies necessary for medical, research, technical and administrative activities
- Protection and safety: ensuring the protection of property and persons.
Mission
- You check administrative and financial documents: invoices, orders, decision files and budget monitoring
- You issue, process and follow up on orders with financial impacts
- You verify compliance with CHUV internal procedures and State directives
- You identify, analyse and report administrative and financial anomalies
- You enter, update and consolidate financial data
- You prepare the data necessary for monitoring dashboards and management indicators
- You apply the procedures in force and manage special cases according to established rules
- You collaborate with various internal contacts (project managers, finance department, management) within a cross-functional team
- You manage administrative requests related to construction projects in an evolving and responsive environment.
Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification
- You have completed additional training in accounting
- You have very good knowledge of office and professional IT tools (IDB, FileMaker) as well as experience in a structured administrative, financial or institutional environment
- You know the standards, laws and regulations related to the profession
- You demonstrate great reliability in handling data with financial stakes
- You are comfortable with numbers and have a good understanding of accounting
- You work quickly while ensuring a low error rate
- You know how to prioritise effectively in a demanding environment
- You show autonomy, a sense of responsibility, strict respect for procedures and an excellent team spirit.
