The position is attached to the Operations Department. This department's mission is to ensure the stewardship and logistics necessary for the smooth running of all HUG services, in terms of catering, cleaning and disinfection of premises, and laundry hygiene. It also manages the sterilisation service, the biomedical and equipment service, as well as Cressy-Santé. More than 1,300 professionals carry out their duties daily with constant attention to quality, a sense of service, and environmental responsibility.
The Catering Service includes seven kitchens and eleven catering units (brasserie, cafeteria-restaurant, café, sandwich shop) serving some 9,000 meals per day. This service aims to offer quality services and pleasant, convivial moments to patients, staff, and customers, through attentive service to the criteria of a balanced and varied diet meeting high standards of hygiene and flavour. The Catering Service also offers a catering service (banquets, aperitifs, etc.) on the institution's various sites. Throughout HUG, the Catering Service focuses on fresh products and local produce, labelled Genève Région Terre Avenir.
Job description
As part of your role, you will ensure the secretarial duties for the catering sector of external sites. You will also perform accounting and administrative tasks related to the operational functioning of the sector as well as personnel management.
Reporting to the sector manager, you will work closely with the teams of cooks and restaurant employees, team leaders, and group leaders to ensure effective administrative organisation.
You will be responsible for entering staff schedules, handling correspondence, drafting administrative documents and minutes, managing files and computer records, as well as organising meetings and appointments. You will also manage telephone calls and client relations related to hotel services and room bookings for conferences.
Through your rigour and organisational skills, you will contribute to the quality of the secretarial operations and participate in the continuous improvement of service practices in compliance with current procedures. You will collaborate smoothly with the sector and catering service teams.
Qualifications
You hold a Federal VET Diploma (CFC) as a commercial employee or in the catering field (or an equivalent qualification) and have at least 3 years of experience in the other domain.
You possess very good writing and administrative skills (correspondence, reports, statistics, minutes). You are comfortable with IT tools and know how to manage documents, files, and deadlines methodically and precisely.
Endowed with good organisational skills, excellent communication, and a team spirit, you are able to manage priorities, work independently, and maintain courteous and respectful professional relationships.
Your discretion, sense of service, and adaptability enable you to work effectively in a demanding hospital environment.
