The position is attached to the Surgery Department. This department provides care for patients both electively and in emergencies. It represents a centre of excellence, not only in Switzerland but also in Europe in several fields and surgical specialties.
The Orthopaedic Surgery and Musculoskeletal Trauma Service manages surgical conditions and disorders of the musculoskeletal system in adult patients through surgical or conservative means, taking into account the services provided by other departments of the HUG. It also cares for adult patients suffering from spinal trauma or disease without spinal cord or neurological injury, as well as adult patients with surgical conditions and disorders of the hand.
Furthermore, it provides rehabilitation and physical treatment for patients referred to the specialised unit of physical medicine and orthopaedic rehabilitation, as well as care and preventive actions for patients with musculoskeletal injuries related to sports practice.
Job Description
Within the service secretariat, your mission is to organise and independently manage the daily work related to the activity of assistant doctors and senior registrars.
Thanks to your interpersonal skills, you welcome, inform and direct patients presenting to the Orthopaedic Surgery and Musculoskeletal Trauma Service and manage incoming telephone calls.
You organise consultations by managing the doctors’ electronic schedules and preparing patient files. After consultations, you independently and promptly type medical reports and operative notes. You also assist with processing discharge letters from the service. When necessary, you schedule additional medical examinations. You also manage and follow up insurance requests (DRM).
While responding to various requests, you successfully and independently carry out administrative activities related to your role such as patient file follow-up, mail and email management.
You demonstrate proactivity in performing logistical tasks arising from secretarial life such as receiving, sorting, distributing and/or following up on paper mail and orders, scanning and archiving various documents.
Within the team, you develop close relationships with your fellow medical secretaries and ensure continuity of service during absences. More generally, your service-oriented attitude makes you a flexible person ready to apply your versatility to serve the institution by working in different departments according to needs.
Qualifications
You hold a Federal VET Diploma as a commercial employee and/or a medical secretary diploma, or any equivalent qualification.
You have proven experience in a similar position within a medical secretariat.
You have a very good knowledge of IT tools (ECDL certification required: advanced level in Word, standard level in Excel), as well as the institutional software used at HUG (DPA, DPI, GRECO 2, OPALE).
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
Possessing a good team spirit, you are able to work in a shared office with several secretaries. While having a good sense of organisation and priorities, you are autonomous, rigorous and precise in the tasks entrusted to you.
You also have the tools to cope with unforeseen events and easily manage stressful situations.
Finally, you demonstrate a strong sense of confidentiality.
