Position Overview
The Facilities Office Administrator is responsible for ensuring a smooth and professional front-desk experience while providing operational support across facilities, logistics, and general office management. This role combines receptionist duties with facilities coordination and administrative support to help maintain an efficient and welcoming workplace.
Key Responsibilities
Reception & Front Desk
- Welcome visitors at the reception desk and liaise with our external Call Center.
- Manage incoming and outgoing mail, shipments, and courier services (including notarial legalizations and other external services).
- Handle cash management at the reception desk.
Facilities & Office Management
- Serve as the point of contact for the building regency/owner regarding facility issues.
- Oversee facilities stewardship and ensure a well-maintained work environment.
- Manage conference rooms (bookings, setup, catering such as lunches and drinks).
- Manage company bikes and parking allocations.
- Manage office & hospitality supplies
Administrative & Support Tasks
- Perform non-accounting classifications and administrative filing.
- Support travel arrangements for employees (hotels, trains, cars, flights).
- Coordinate the purchase of birthday gifts and other special-occasion items.
- Assist in organizing company events.
- Agenda Mngt for Executive and Senior Directors when required.
Requirements
- Previous experience in a similar role
- Proficiency with Microsoft Office 365 Suite and Google Workspace
- Fluent English and French
- Excellent communication and interpersonal skills
- Strong customer service mindset and professional demeanor
- Good organizational and time-management abilities
- Ability to manage multiple tasks simultaneously with attention to detail
- Problem-solving skills and proactive attitude
- Ability to work independently and collaboratively with various teams.
