Administrative Assistant in the Department of Physics (m/f/d)

The Department of Physics pursues a diverse research agenda and a broad teaching program. These cover all areas of physics, from the fundamental principles of nature to innovative technologies for society. A large part of the approximately 1,500 bachelor, master, and PhD students, postdocs and professors, apprentices as well as scientific and service staff are involved in experimental research in one way or another.
The Technical Services , including the associated vocational training , have the optimal support of the department's research and teaching tasks as their top priority. For the administrative support of these two areas, we are looking for a motivated reinforcement starting November 1, 2025, or by arrangement.
Job description
As an administrative assistant, you support the Head of Technical Services as well as the individual operations managers. You ensure that all processes run smoothly. Your versatile range of tasks includes:
- You are the first point of contact for all administrative concerns of the technical services and ensure their smooth administrative support
- You organize meetings, workshops, and other events
- You actively support the operations in personnel administration (HR workflows, certificates, changes, and billing)
- You process the annual budget, prepare forecasts, and are responsible for booking expenses and supplier invoices
- You manage the content of the websites of the technical services and vocational training at D-PHYS
- You plan and carry out annual internal events such as Christmas parties and barbecues
- In case of absence, you take over the representation for the department administration and are also represented in return
Profile
You are a well-organized and reliable person with a high degree of personal responsibility. Ideally, you bring the following qualifications:
- A completed commercial education (KV, EFZ) or a comparable qualification
- Several years of professional experience in a comparable administrative function
- Confident and routine handling of common MS Office applications as well as enjoyment in working with new tools. SAP knowledge is an advantage.
- Fluent German skills (spoken and written) and good English skills in speaking and writing
- An independent, structured, proactive, and reliable working style, high quality awareness, as well as pronounced organizational talent
- Friendly and open-minded with a high degree of discretion and sense of responsibility
- Enjoyment in collaboration and communication across various ETH areas
