Your Tasks
- Operational activities
- Administrative and organisational support of the medical staff, psychology and other therapists (hub function for internal and external stakeholders)
- Processing of medical reporting including dispatch and service recording, general correspondence (e.g. cost approval requests, insurance enquiries, prescriptions, etc.)
- Maintenance and management of electronic medical records (InesKIS, EPD), scanning and file dispatch
- Coordination and organisation of meetings, training sessions and other events
- Support in the induction of new employees both within the secretariat team and across departments
- Participation in the ongoing optimisation of workflows and processes and support in their implementation, execution and compliance
- Duty scheduling and time recording of the medical areas as well as planning of the medical on-call service (Polypoint PEP)
- General secretarial duties (management of office supplies, provision of selected documents, brochures, templates, forms, telephone service, etc.)
- Holiday cover in the Medical Secretariat of the Outpatient Services
- Possibly function as contact person for occupational safety (KOPAS)
- Leadership responsibility
- Deputy to the Head of Medical Secretariats as well as assistant to the Medical Director
- Participation and/or representation in internal committees (e.g. Ines KIS operating group, medical management meetings, reports, conferences) including minute-taking where required
- Involvement in recruitments, projects, process issues and quality assurance
- Coordination of internal team processes and contact person for personnel or professional concerns
- Work planning/duty scheduling Medical Secretariats
- Close cooperation with the executive secretariat including holiday cover for the executive assistant (also minute-taking at clinic management meetings if required)
Your Profile
- Enjoyment of further development and collegial, transparent interdisciplinary collaboration at eye level
- Organisational talent with quick comprehension and high service orientation
- Networked, cross-departmental thinking, high reliability and the ability to continuously adapt priorities sensibly according to circumstances
- Independent, structured and precise working style even in hectic moments
- Completed commercial or medical basic training (e.g. MPA)
- Further training as medical/hospital secretary/chief physician secretary or as executive assistant is an advantage
- Professional experience in the commercial field (also outside the medical environment)
- Very good German language skills in spoken and written form
- Proficient use of MS Office and ideally experience with a clinical information system (we work with Navision/SAP and InesKIS)
