With nearly 1,300 employees, the Department of Psychiatry fulfils a triple mission concerning the treatment of mental disorders, training, and research. Thus, the department's mission is to detect and effectively treat increasingly frequent and diverse pathologies while respecting patients and their relatives.
Organised into two services (The CAAP Grand-Pré and the CAAP Arve), the department offers hospital and outpatient services.
The addiction service offers psychiatric, psychosocial, and psychotherapeutic treatments to all individuals suffering from addiction with or without substances as part of a public service mission.
Job Description
As a coordinator secretary, you manage the medical and administrative secretariat. You ensure telephone reception as well as patient reception by verifying their administrative data, while ensuring compliance with current institutional and medico-legal requirements.
You handle the opening, creation, updating, filing, and archiving of the patient medical record according to institutional standards. You also control the billing of therapists and enter reports into DPI.
You manage various insurance reports in coordination with the responsible physician (meeting deadlines), as well as the stock of materials and administrative forms in compliance with current institutional rules. You draft routine correspondence and perform other secretarial tasks specific to CAAP-GP.
Qualifications
You hold a Federal VET Diploma as a commercial employee or an equivalent qualification in medical secretarial work.
You have a very good command of IT tools (ECDL standard level on Word, Excel, Outlook) as well as institutional software used at HUG, such as DPI, DPA, OPALE, and GRECO.
You have an excellent command of the French language; knowledge of English would be an asset.
You have proven experience in independently managing a medical secretariat.
Punctual, reliable, and autonomous, you have a sense of organisation and priorities and demonstrate very good stress resistance.
Meticulous, flexible, and quick, you are comfortable managing a heavy workload while being frequently called upon for various requests.
You are motivated to acquire new knowledge and to invest yourself in the role and demonstrate good team spirit.
Flexible with working hours, you will be required to work at various outpatient and hospital sites within the sector and department.
