As part of our work on apartment construction under the condominium ownership programme (PPE), we are looking for a PPE Assistant. Initially, you will provide essential administrative support to the PPE team and help ensure a high level of quality in file management. Finally, you will ensure rigorous traceability by keeping all documents up to date, validating them and filing them in a structured manner.
Main tasks:
Administrative and organisational
- Issuing, managing and monitoring contractual documents related to the project (contract, amendment, final statement)
- Assisting project managers and site supervisors with administrative tasks
- Managing on-site construction offices (reception, mail, supply orders, conference room management, ...)
- Writing various correspondence, emails, notes.
- Managing and entering tenders, contracts, company amendments (quotes, reports...)
- Proofreading, correcting and distributing various minutes (MO meetings, site meetings)
- Creating and monitoring databases, internal and external information, ...
- Recording, filing, scheduling, archiving files, documents, notes and mail.
- Ensuring document updates according to certain regulations and directives
- Organising site events (groundbreaking, topping out ceremony, inauguration, others)
- Preparing project presentation materials (e.g. PowerPoint)
- Preparing and drafting quotes for clients
- Ensuring administrative follow-up of PPE files
- Updating and maintaining tracking tables and databases
- Ensuring administrative follow-up of buyers throughout the process
- Coordinating exchanges between buyers, companies, partners and managers
- Monitoring buyer modifications and their documentation
Finance and logistics
- Issuing invoices and monitoring debtor/creditor billing
- Supporting project accounting
- Exporting financial data from SAP to the management spreadsheet
- Checking documents such as invoices, bank guarantees,
- Collaborating with the accounting department: monitoring urgent payments, various enquiries, reminders.
- Monitoring budgets and assisting in the preparation of financial reports
- Ensuring deadlines are met and smooth information flow
- Issuing and monitoring client/supplier billing
Communication and interpersonal
- Being a point of contact and reference for internal and external teams
- Regularly communicating important information
- Collaborating with another assistant and providing cover during absences (including reception)
- Helping with the training and integration of new employees
- Participating in the continuous improvement of monitoring and communication processes
You bring:
- Commercial, administrative or equivalent training;
- Proven first experience in an administrative role, ideally supporting PPE buyers / finish choices / showrooms in Switzerland, construction or a project management environment;
- Strong skills in plan reading and technical coordination.
- Excellent command of office tools, especially Excel;
- Documentary rigour, planning skills and strict adherence to milestones.
- Organisational skills and ability to manage several files simultaneously;
- Interpersonal skills and service orientation;
- Team spirit, discretion and reliability;
- Ability to work methodically and independently.
- Customer and results orientation; ability to manage several lots/apartments in parallel
