You will take care of the administration and reception and, together with the existing team, be the business card of the company. You will be the contact point for stakeholders from all departments. Ideally, we wish for a distribution of the 50% workload from Monday to Friday, each morning.
How you support us:
- Receiving and forwarding calls as well as friendly guest reception
- Daily processing of incoming and outgoing mail including document filing
- Checking, documenting, and filing investment documents according to internal guidelines and regulatory requirements
- Creating investment confirmations and adjusting investor data
- Ordering and inventory management of office supplies and consumables
- Managing parking spaces including organizing permits and ongoing verification of allocation
- Organizing and coordinating the use of the company vehicle including maintenance and monitoring of vehicle status
What you bring:
- Completed commercial basic training or equivalent qualification
- Experience in administration, reception, or a comparable function is an advantage
- Good application knowledge in MS Office (Word, Excel, Outlook)
- Experience with data reconciliation and document management is desirable
- Very good German skills in spoken and written form as well as English skills – any additional language is an advantage
- High service orientation as well as friendly and well-groomed appearance
- Reliable and structured way of working
- Discretion and accuracy when handling sensitive data
- Organizational talent and flexibility
