We are looking for an Administrative Assistant PTNAI (Process Technology New Active Ingredient) & Site Services (m/f/d) based in Münchwilen, Aargau.
Job Description
As an Administrative Assistant PTNAI & Site Services (m/f/d), you provide essential support for the areas of process technology and site services in Münchwilen. As an important interface, you ensure smooth operation of the diverse processes with your administrative expertise. In this central position, you are a reliable support for the entire team and take on the following core tasks:
Responsibilities:
- Central contact point and management of the administrative processes of the process technology department (documentation, meetings, quarterly reports) as well as representation for other administrative functions
- Management of resource planning tools and databases; participation in organizational design and project planning, as well as process optimization
- Support of HR administrative processes (recruiting, onboarding, employee documentation) in coordination with HR
- Coordination of meeting calendars and scheduling for department, cross-departmental, and leadership team meetings
- Maintenance of intranet and digital data storage systems to ensure information quality
- Management of finance and procurement processes (time tracking, travel expenses, payments, orders)
- Support of the HSE department in performance tracking and document management
- Support of project engineering teams by maintaining CAPEX project dashboards
Qualifications
- Completed commercial basic education (EFZ) or equivalent qualification
- 3-5 years of professional experience as an Administrative Assistant in technical environments, including leadership team support
- Experience in change management projects and ability to coordinate smaller initiatives desirable
- HSE knowledge is an advantage
- Knowledge of Syngenta processes and tools is an advantage
- Fluent German and English skills
- Independent, proactive working style as well as strong ability to collaborate with various stakeholders at all hierarchy levels (internal and external)
