Company Description
The Public Establishments for Integration (EPI) have the mission to contribute to the well-being and social and/or professional integration of people with disabilities or facing difficulties in professional and/or social integration.
The EPIs have more than 1400 employees, adapted employment collaborators, interns, apprentices, responding to distinct legal and statutory statuses. Attached to the General Management, the Human Resources Services aim to develop, implement, and enforce institutional policies in human resources such as personnel management, salary payment, occupational health & safety, and training.
We are looking for an 80% executive assistant to support the management and the three HR Services managers.
Job Description
- Provide secretarial and administrative support to the management and HR Services managers, adding value and preparing necessary documents.
- Welcome, inform, and direct the public and collaborators dealing with management.
- Plan and carry out administrative tasks: prepare meetings, maintain dashboards and deadlines for addressed issues, and ensure minute-taking.
- Collaborate with all institution services regarding files handled by the service management and managers.
- Ensure coordination of information between services.
- Handle the generic mailbox of the Human Resources Services.
- Support HR services with drafting tasks (letters, minutes especially those of service interviews, work certificates, etc.).
- Organise events related to the Human Resources Services autonomously.
- Provide administrative support for training.
- Manage HR service invoices (monitoring temporary staff, providers, doctors, etc.).
Qualifications
- Hold a commercial professional maturity or the federal diploma of executive assistant. Holding a personnel management assistant certificate is an asset.
- At least 5 years of proven experience in an executive assistant role, preferably in human resources.
- Excellent writing skills in French and perfect mastery of common office IT tools.
- Bring real added value to the institution by being proactive and delivering quality work.
- A positive and flexible personality, team spirit, excellent interpersonal skills, and a strong sense of discretion and confidentiality.
- Good resilience under high demands and a real ability to manage a large workload while respecting deadlines and ensuring quality.
- Ability to work autonomously, organised, solution- and client-oriented, notably by developing tools to foster collaboration and demonstrating interpersonal skills.
- A strong interest in the mission of integrating people with disabilities or facing integration difficulties.
