The Oncology Department provides diagnostic and therapeutic care for adult patients suffering from cancerous diseases and supports patients and their relatives. The goal is to ensure access to the best anti-cancer treatment, offer appropriate care, and anticipate the needs of hospitalized patients (bone marrow transplant, cell therapy, immunotherapy, etc.). Additionally, the Cancer Center coordinates transversal activities dedicated to cancer issues between services and departments.
It includes 4 services (hematology, oncology, precision oncology, and radio-oncology) and is composed of approximately 300 employees.
Job Description
Within a secretarial team composed of 4 secretaries and a lead secretary, you will take charge, according to a rotation system, of all secretarial duties.
You ensure the reception, orientation, and information of patients and users, adapting your communication to their context.
You professionally and personally manage internal and external phone calls as well as the generic secretarial email inbox. You are also responsible for receiving, filing, scanning, and sorting incoming and outgoing mail.
You ensure the complete administrative follow-up of patient files: recording administrative data, preparing computerized files for outpatient consultations, planning and coordinating simple and complex consultations, managing laboratory requests, digitizing files, drafting, and billing medical reports.
In a collaborative team spirit, you maintain close relationships with your colleagues and ensure service continuity in case of absence. Your sense of service, agility, flexibility, and versatility allow you to effectively meet the secretariat's needs.
Qualifications
You hold a Federal VET Diploma (CFC) as a commercial employee and/or a medical secretary diploma, or any equivalent training deemed appropriate.
You have at least two years of successful experience in a similar position within a medical secretariat.
You have perfect mastery of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you.
Knowledge of English is an asset (minimum level B2).
You hold the ECDL Advanced certificate for Word and Base for Excel, Outlook, and Web. You possess very good knowledge of the software used at HUG (DPA, DPI, OPALE, GRECO2, and Laboratory Query).
Thanks to your good team spirit, you are able to work in a shared office with several secretaries.
While having a good sense of organization and priorities, you demonstrate autonomy, rigor, and precision in the tasks assigned to you.
You also have the tools to handle unforeseen events and easily manage stressful situations. Empathetic, you enjoy human contact and show tact in sensitive situations.
Finally, you demonstrate a strong sense of confidentiality.
