As an assistant, you work in the Secretariat of the Bank Council/Bank Presidium and support the presidium members in all administrative matters in collaboration with your team colleagues and the General Secretary to ensure a smooth process at the highest management level of the bank.
Your tasks
- Proactive support of the bank president in administrative and organizational matters (including handling correspondence, managing appointments, organizing meetings and business trips, creating presentations)
- Independent organization of internal & external events (event management)
- Creating and designing presentations for internal and external purposes
- Handling general correspondence and various research tasks
- Support in planning and organizing meetings of the bank council and its committees
- Independent preparation and follow-up as well as minute-taking of bank presidium meetings in rotation with team colleagues
- Managing general secretarial tasks such as telephone service, mail receipt, welcoming guests in collaboration with team colleagues
- Point of contact for various stakeholders inside and outside the bank
- Participation in projects (e.g., further development of the digital filing system, key and access management, archiving)
- Assuming deputy tasks in the secretariat
Your profile
- Commercial vocational training with at least 5 years of professional experience in a comparable function
- Federal diploma as executive assistant is an advantage
- Confident German language skills in spoken and written form, good English skills are an advantage
- Experience in minute-taking
- Very good knowledge of the Microsoft Office suite as well as IT affinity
- Strong organizational skills with precise, independent, and efficient working style
- Service- and solution-oriented personality with a high sense of responsibility
- Integrity and discretion as well as high quality standards for own work
- Friendly, professional appearance and team player mentality
