Job Description
The Faculty of Medicine at the University of Geneva benefits from an enriching multicultural dynamic to which it contributes through its influence within the mandates it has set itself: teaching, research and its partnership with the Geneva University Hospitals (HUG).
The Interprofessional Simulation Centre (CiS) is the joint centre of the Faculty of Medicine of the University of Geneva, the Geneva University of Health (HEdS – HES-SO Geneva), the Geneva University Hospitals (HUG) and the Geneva Home Care Institution (IMAD). It develops and implements training, evaluation, research and consultancy activities in simulation and interprofessionality in the health sector.
To strengthen its team, the Interprofessional Simulation Centre is currently seeking a:
Administrative Assistant at 80-100%
Within the framework of the partnership agreement linking the four partner institutions, the postholder ensures the organisational management and the administrative and financial coordination of the activities of the Interprofessional Simulation Centre (CiS). They provide direct support to the management in the operational running of the centre, ensure the development and coherence of administrative processes and guarantee their compliance with the regulations of the four partner institutions.
In this capacity, they are notably responsible for:
the organisational management and administrative coordination of the CiS, by delegation from the management;
the administrative oversight of the CiS training and evaluation activities;
the administrative and financial management of the centre;
the administrative management of human resources.
The postholder works closely with the CiS management, provided by an interprofessional duo, which they represent by delegation for certain activities. They also work closely with the CiS team, composed of administrative, educational and technical staff, as well as with the partners of the four partner institutions.
Main tasks:
Ensure the organisational management and administrative coordination of the CiS in support of the management, notably by coordinating the centre's activities, developing tools and procedures, monitoring agreements, governance bodies and dashboards;
Manage the administrative organisation of interprofessional and simulation training and evaluation activities, ensuring their planning, coordination of activities involving simulated persons and monitoring of associated administrative resources;
Ensure the administrative and financial management of the centre, in coordination with the four partner institutions, notably budget monitoring, service contracts, quotes, invoicing and financial dashboards;
Ensure the administrative management of human resources, supervise the CiS administrative team and coordinate HR file follow-up in connection with partner institutions;
Contribute to the development, continuous improvement and compliance of administrative processes in a complex interinstitutional environment.
Required qualifications and skills
Professional maturity, diploma from a higher commercial school or equivalent training.
Proven professional experience (minimum 5 years) in an administrative role involving coordination, organisation and monitoring of complex files. Experience in an academic, training, institutional or health environment is desirable. Experience in coordinating activities, administrative and financial management, event organisation or planning complex activities is an asset.
Excellent organisational, coordination and multitasking skills, with a recognised ability to manage priorities, unforeseen events and organisational constraints.
Very good writing, synthesis and communication skills, as well as excellent mastery of office tools and ease in using management, planning and database tools.
Ability to work autonomously, rigorously and proactively in an interinstitutional environment involving many partners, while ensuring a high level of confidentiality.
Excellent interpersonal skills and service orientation. Interest in training, interprofessionality and simulation in the health sector.
