As a Team Administrative Assistant, you will provide high quality proactive support to the Head of Scientific & Technical Operations and his team. You will manage the administrative tasks and prioritize commitments to ensure high-quality and timely support to the business in a fast-paced multicultural environment.

A Day in the Life of a Team Administrative Assistant

  • Provide proactive and timely support to the unit head, department managers and team members with day-to-day administrative tasks (agendas coordination, meetings and visitor arrangements, communications, presentations, documents validation, lists and organization charts updates etc.)
  • Support certain units in their engagement with high-profile external stakeholders, such as consultants from companies and academic and leaders in academic institutions
  • Manage general administration activities with efficiency: anticipate, prioritize and prepare information as required to ensure timely follow-up
  • End-to-end organization and coordination of workshops, meetings and events
  • Organize travel arrangements and logistics and follow-up on travel expenses
  • Maintain content of digital platforms and contribute to innovative solutions
  • Act as point of contact for the deployment of new Nestlé solutions (IT/office tools, processes and policies)
  • Coordinate the unit's budget and act as back up to coordinate the procurement process (PR/PO)
  • Coordinate the on-boarding activities of the new team members

  • At least 3 years successful administrative assistant working experience supporting a team
  • Excellent communication and organization skills
  • Strong interpersonal, networking and communication skills
  • Ability to engage with stakeholders at all levels internally and externally
  • Flexible with proven service orientation and good listening skills
  • Trustworthy, with ability to work in a multicultural environment
  • Collaborative and resourceful with a positive mindset
  • Digitally savvy with very good knowledge of the MS tools and Concur
  • Fluency in English and French
