YOUR ACTIVITIES :
The activities of the IMA, in addition to being the correspondent of client companies
(subsidiaries and HR departments), include all or part of the following tasks:
International Mobility :
- Ensure the application of mobility guidelines and report any deviance or problem to the
IMTL.
- Manage internationally mobile employees (hiring, changes of assignment, end of
employment contract).
- Where applicable, ensure that the mobility conditions are presented to internationally
mobile employees. Explain the entire international employment contract and the
international mobility policy associated with each employee, in English or French,
including the description of remuneration and social coverage.
- Where applicable and in conjunction with other external service providers, respond, to
various questions relative to the relocation of the employee, in terms of their relocation,
accommodation, education, tax reimbursement, paid holidays, systems recoveries,
reimbursements of mission expenses, annual returns, advances etc.
Payroll/Remuneration :
- Ensure payroll for internationally mobile employees. Enter into Proconcept (ERP) all the
elements of the file of each new employee in order to establish the individual payslip,
then all the variables of the current month – expense reports, salary increases,
exceptional bonuses, advances, various allowances, ready ...
- Proceed with any necessary regularization – corrections to salary increases, bonuses,
etc. Check all payslips every month. Control of elements in collaboration with
accounting if necessary.
- Manage post-payroll (social security checklists, reporting to subsidiaries, various lists).
- Carry out compensation and cost package simulations on the basis of the information
provided by the correspondents appointed in the client Human Resources Departments
or in client subsidiaries, in compliance with the mobility policy defined by the client and
the regulations.
HR Administration :
- Establish draft employment contracts and inter-company contracts.
- Ensure the implementation and daily monitoring of employment contracts for
internationally mobile employees.
- Where applicable, have the employment contract signed by the international employee
and delivery of the hiring file summarizing social coverage.
- Proceed with all the affiliations, follow-up, checks and necessary modifications to the
level of social insurance for internationally mobile employees.
- Complete all the forms necessary for affiliations to the various social organizations.
- Check the individual information sheets concerning the employee and his family (collect
photos, copies of passports of the whole family, bank details).
- Record keeping and archiving of internationally mobile employees.
- Manage the end of the employment contract of internationally mobile and take any
action required to terminate the employment contract (end of employment contract
letter, balance of any account, etc.). Produce salary certificates for the establishment of
the tax clearance of employees. Close social insurance affiliations. Coordinate, where
necessary, with external service providers (relocation, tax consultants etc.).
YOUR PROFILE
- Minimum 2 years of experience in Switzerland in International Mobility & International Taxation
- Personnel Assistant Certificate in Switzerland (Federal HR Management Diploma an asset).
- Excellent command ofFrench and English(fluent English).
- Several years’ experience in HR administrative management(social insurance, immigration and
Swiss labour law) (International Mobility / International Taxation / International deployments / coordination mandatory).
- At ease and rigor with figures and very high analytical skills.
- Excellent resistance to stress in a multidisciplinary and client environment.
- Willingness to learn in a fast-paced environment and to evolve over time.
- Team spirit and ability to work independently.
