The Department of Community and Primary Care Medicine (DMCPR) has the societal mission to enable access to quality care for all through local medicine, to ensure the management of minor medical and surgical emergencies, to promote prevention among citizens, to provide medical knowledge for judicial investigations, and to promote the health of travellers.
The Primary Care Medicine Service provides outpatient care for adult patients under primary care medicine. This service also offers outpatient emergency medical services to the population. Within the framework of the HUG’s general interest missions, it provides access to care for disadvantaged populations due to their age, social, economic, legal status (asylum seekers, those refused entry, undocumented persons, prisoners), or lifestyle habits; if necessary, the primary care medicine service also ensures continuity of their care.
Job DescriptionYou assist the head physician and their assistant in the management and administrative organisation of the service, in clinical, academic, and research areas, ensuring the interface between the various professional sectors.
You organise meetings and conferences using institutional electronic calendars. You prepare, monitor, and archive files for various service projects, write meeting minutes, and coordinate the follow-up of decisions made.
While responding to various requests, you independently carry out administrative activities, including managing schedules (VRH), monitoring and transmitting evaluations as well as staff appointments related to service projects. You ensure proper management of billing and reimbursements for research and training activities, transmission of congresses and conferences to the medical staff, and monitoring the budget allocated to the service and the head of service’s projects.
You demonstrate proactivity in performing logistical tasks arising from secretarial life such as orders, letter writing, requests for appointments, reimbursements, or training.
Within the team, you develop a close relationship with the service’s employees and ensure continuity in the secretariat during absences. More generally, your service-oriented attitude makes you an agile and diplomatic person.
QualificationsYou hold a Federal VET Diploma (CFC) as a commercial employee as well as a diploma as a medical secretary or an equivalent qualification.
Autonomous, you have proven experience in a versatile secretarial role.
You have perfect command of French, both spoken and written, and demonstrated writing skills. Medical terminology is easily understandable to you. Proficiency in English at B1 level or German is a real asset.
Comfortable with IT, you have an ECDL Advanced level for Word or are willing to undertake the training.
With a good team spirit, you are capable of working in a shared office with several secretaries.
You also have the tools to handle unforeseen events and manage stressful situations proactively. Finally, you demonstrate a keen sense of discretion and confidentiality.
