We are looking for an experienced leader as
Mailroom Lead (m/f/d)
for our mailroom in a life sciences facility. You
take operational responsibility for all incoming and outgoing shipments, lead a team of mailroom staff and ensure compliance with industry-specific compliance requirements. This position requires both strong leadership skills and solid knowledge in handling sensitive materials and regulatory documents.
Your main responsibilities
- Leading, training and developing the mailroom team
- Creating duty rosters and coordinating workflows
- Conducting employee interviews and performance evaluations
- Onboarding new team members and ensuring proper induction
- Promoting a safety-oriented work culture in line with company policies
- Monitoring and optimizing all mail and shipping processes
- Quality control in handling time-critical and regulatory shipments
- Coordinating with shipping service providers and negotiating service contracts
- Implementing and monitoring tracking systems and delivery protocols
- Escalation management in case of problems or delays
- Ensuring compliance with all FDA, DEA, and industry-specific regulations
- Developing and updating Standard Operating Procedures (SOPs)
- Conducting regular compliance audits and training
- Managing controlled substances according to legal requirements
- Coordinating with quality assurance and regulatory departments
- Monitoring the handling of temperature-sensitive and hazardous materials
- Coordinating sample and specimen transports with chain of custody documentation
- Supporting clinical trials through timely material distribution
- Ensuring confidentiality of proprietary research information
- Budget and cost management for mailroom operations
- Inventory management and procurement of shipping materials
- Reporting to management on KPIs and operational metrics
- Participating in facility projects and relocation planning
- Continuous process improvement and efficiency enhancement
Your personal profile
- Completed commercial training or equivalent qualification
- At least 3-5 years of experience in mailroom operations or logistics
- Proven leadership experience with at least 2 years of personnel responsibility
- Solid knowledge of shipping regulations for hazardous goods and controlled substances
- Very good knowledge of MS Office and warehouse management systems
- Excellent communication and problem-solving skills
- Resilience and ability to work in a fast-paced environment
- Experience in the pharmaceutical, biotechnology or medical technology industry
- Certifications in hazardous goods transport (ADR, IATA) or quality management
- Knowledge of Lean Management or Six Sigma methods
- Multilingual communication skills
- Experience with ERP systems and automated sorting systems
- Willingness to work in various environmental conditions including temperature-controlled areas, including extended standing and walking activities and occasional lifting of items up to 23 kg
- Willingness to occasionally work overtime during increased shipment volumes
