The position is attached to the Department of Women, Children and Adolescents , which aims to provide quality care tailored to the needs of women at every stage of their lives, and to address the health issues faced by newborns, children and adolescents from birth up to the age of 16. It works on the development of cutting-edge services and specialist competence centres.
It notably includes general paediatrics, paediatric specialties, paediatric surgery, development and growth, paediatric and neonatal intensive care, and paediatric emergency services.
Job Description
As part of your role, you will undertake replacement duties in various secretariats attached to Paediatrics (children’s hospital), for short to medium durations, and must therefore be able to adapt quickly to changes. The main challenge of this position is the diversity of activities and the short duration of assignments, so you must have excellent learning, analytical and listening skills to successfully complete your tasks.
Thanks to your interpersonal skills, you welcome, inform and direct patients and their companions presenting at the service, and you manage incoming telephone calls.
You organise consultations by managing doctors’ electronic schedules and preparing patient files. After consultations, you independently and promptly type medical reports. If necessary, you schedule additional medical examinations.
While responding to various requests, you independently carry out administrative activities related to your role, including patient file follow-up, managing mail and email, organising holiday schedules, and arranging medical staff conferences.
You demonstrate proactivity in performing logistical tasks arising from secretariat life such as ordering supplies, invoicing, and archiving.
Within the team, you develop close relationships with your medical secretarial colleagues and ensure continuity of service during absences. More generally, your service-oriented attitude makes you a flexible person ready to apply your versatility to serve the institution by working in different departments as needed.
Qualifications
You hold a Federal VET Diploma as a commercial employee and a medical secretary diploma, or any equivalent qualification.
You have several years of experience in a medical secretariat, ideally in a similar position.
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Knowledge of English is an asset.
You possess the ECDL Advanced certification including Word, Excel, PowerPoint, Outlook and/or Web, and have very good knowledge of the software used at HUG (DPA, DPI, OPALE, GRECO, Winscribe and Laboratory Query).
Thanks to your good team spirit, you are able to work in a shared office with several secretaries.
While having a good sense of organisation and priorities, you are autonomous, rigorous and precise in the tasks entrusted to you.
You also have the tools to cope with unforeseen events and easily manage stressful situations.
Finally, you demonstrate a strong sense of confidentiality.
