Unit Secretary for the SUPEA Gateway Consultation
The University Service of Child and Adolescent Psychiatry (SUPEA) at CHUV is seeking a medical secretary, with a workload between 80% and 100%, for its outpatient gateway consultation in Chavannes-près-Renens. The contract is permanent and the starting date is scheduled for 1 January 2027 or to be agreed.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. In collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, it plays a leading role in care, research and education.
The outpatient gateway consultation in Chavannes-près-Renens is part of the outpatient pathway of the University Service of Child and Adolescent Psychiatry (SUPEA) and receives children and adolescents suffering from psychological difficulties, as well as their relatives.
The multidisciplinary team composed of doctors, psychologists, nurses and social workers supported by a secretariat is committed to actively collaborating with the internal and external care network of the University Service of Child and Adolescent Psychiatry (SUPEA).
Mission
- You welcome and guide patients of the consultation
- You manage telephone calls and ensure communication with the relevant professionals
- You inform patients about the progress of their care
- You carry out the secretariat's administrative tasks (opening, updating and closing files)
- You manage medical records (typing various documents, sending copies of reports, ...)
- You enter services according to information from the healthcare staff
- You follow up on medical information requests
- You plan meetings and participate upon request (room booking, taking minutes)
- You participate in managing the Unit's administrative tasks (mail management, handling repair requests, maintaining dashboards, ...).
Profile
- You hold a Federal VET Diploma as a commercial employee or a business school diploma or equivalent training
- You have at least 5 years of experience working autonomously in a secretariat
- You have perfect command of French, both spoken and written (a foreign language is an asset)
- You have excellent skills in common IT tools
- You demonstrate excellent organisational skills, proactivity, flexibility and know how to manage priorities
- You are recognised for your discretion, versatility and ability to work both in a team and independently
- You ideally know the functioning of Vaud state structures and parapublic bodies related to the psychiatric field.
