Workplace Basel - North West Switzerland - SwitzerlandCategoryPositionPublished4 May 2026The Swiss Tropical and Public Health Institute (Swiss TPH) is a globally renowned institute in the field of global health with a special focus on low- and middle-income countries. Associated with the University of Basel, Swiss TPH combines research, teaching and services at local, national and international levels. Around 1,000 people from 96 countries work at Swiss TPH in areas such as infectious diseases and non-communicable diseases, environment, society and health, as well as health systems and programmes.
The Department of Education is responsible for coordinating the courses and programmes at Swiss TPH as well as at the University of Basel and is looking for an Assistant to the Department Head Education to start immediately or by arrangement. Since you will be "in the thick of it" with us, you should not be easily rattled and bring a healthy sense of humour.
As Assistant to the Department Head Education, you will support the department in all administrative matters. In your role as a central hub, you will coordinate various interfaces with internal and external stakeholders and contribute significantly to a smooth process. Thanks to your pronounced organisational talent, you keep an overview even in demanding situations and impress with your flexibility.
Your tasks
- Coordination of appointments and management of the Department Head Education’s agenda
- Independent handling of general administrative tasks (correspondence, document filing, maintenance of the address database, travel management, expense management as well as creation and approval of invoices via a digital workflow)
- Organisation and coordination of internal and external meetings as well as smaller events
- Preparation of meeting documents and minute-taking
- Planning and coordination of onboarding new employees in the Department of Education, including IT and infrastructure setup
Your profile
- Completed commercial basic training or equivalent education; further training in the assistance area is an advantage
- At least 4 years of professional experience in an assistant role
- Excellent oral and written German and English skills; French skills are an advantage
- High degree of independence, strong sense of responsibility as well as the ability to set priorities confidently and to act flexibly and with quality awareness even with short-term requests
- Service-oriented, forward-looking personality with very good manners, pronounced intercultural competence, high resilience and team orientation
- Very good MS Office skills as well as a quick grasp of new IT tools and openness in dealing with digital applications
