Head of Secretaries for the Western Region in the Department of Psychiatry
The Department of Psychiatry is seeking a head of secretaries at an 80% workload, on a permanent contract, for the Western region, in Prangins. The starting date is scheduled for 1 January 2027 or to be agreed.
Context
The Lausanne University Hospital (CHUV) is one of the five Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, CHUV plays a leading role in medical care, medical research, and education.
The Western Psychiatric Sector is one of the three sectors of the Department of Psychiatry. It provides comprehensive and multidisciplinary care for adults and elderly people suffering from mental disorders in Western Vaud (regions of Nyon, Prangins, and Morges). It offers acute care, outpatient services, consultations for couples and families, cognitive behavioural therapies, as well as follow-ups at patients’ homes.
Mission
- You ensure the management and organisation of the secretariats of the consultation and hospitalisation units: coordination of activities, transmission of information according to institutional guidelines, and development, evaluation, and implementation of unit procedures
- You supervise the secretaries under your responsibility: planning, organising replacements, welcoming and training new collaborators, participating in recruitment, updating job descriptions, and conducting performance reviews, in collaboration with the Department’s head of secretaries
- You ensure the maintenance of patients’ medical records: drafting and monitoring documents (discharge letters, insurance reports, etc.), tracking tables, medical information requests, and management of PLAFA (deadlines, appeals, and extension requests with the Justice of the Peace)
- You manage the administrative tasks of patients and hospital units: entering services, participating in meetings and drafting minutes, organising networks, updating data, and opening and closing files.
Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification, ideally complemented by a medical secretary diploma
- You have a diploma or certificate in team leadership
- You have at least five years’ experience in a similar position, including a minimum of three years in team management
- You have excellent command of French, both spoken and written; knowledge of a foreign language is an asset
- You possess advanced skills in office software; knowledge of institutional software is an advantage
- You are comfortable working in a multidisciplinary team and adapt your communication to different interlocutors, with mutual support and a collaborative spirit
- You demonstrate flexibility, good organisational skills and priority management, as well as analytical and synthesis abilities
- You are familiar with the structures and functioning of the Vaud State services and parapublic bodies related to the service and psychiatry.
