Job Description
- Manage complex and ever-changing calendars, scheduling meetings, appointments, and conference calls while efficiently resolving scheduling conflicts.
- Act as a gatekeeper, screening and prioritizing incoming emails, calls, and correspondence on behalf of senior leadership.
- Prepare and edit various documents, reports, presentations, and financial data to support decision-making processes.
- Prepare, assist, attend meetings, take accurate meeting minutes, and follow up on action items with stakeholders to ensure timely completion.
- Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries, optimizing travel efficiency.
- Handle confidential and sensitive information with utmost discretion and always maintain strict confidentiality.
- Assist in administrative and financial-related tasks such as expense reporting, budget tracking, and financial record keeping.
- Conduct research and gather data to support strategic business decisions.
- Collaborate with other members of the executive team and cross-functional departments to ensure smooth communication and coordination.
Qualifications
PROFESSIONAL PROFILE
- Proven experience as an Executive Assistant or similar role supporting C-level executives.
- Exceptional organizational skills with the ability to multitask and prioritize competing demands effectively.
- Strong attention to detail and a track record of producing accurate work under tight deadlines.
- Excellent communication skills, both written and verbal, with the ability to interact confidently with internal and external stakeholders.
- High level of integrity and professionalism, handling confidential information with discretion.
- Strong problem-solving abilities and resourcefulness in handling challenges.
- A proactive and self-motivated individual who can work independently as well as part of a team.
REQUIRED SKILLS
- Commercial school, bachelor’s degree in business administration, finance, or a related field is preferred.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook, and SharePoint); experience with financial software is a plus.
- Excellent writing skills in English.
- Fluent English and German; French is an asset.
