Job Description
- Organise, coordinate and supervise all administrative activities of the radiology secretariat.
- Manage the secretariat team, allocate tasks and ensure continuity of service.
- Develop and manage the team’s schedules according to the department’s activity.
- Ensure the physical and telephone reception of patients and guarantee professional and personalised care.
- Organise and optimise appointments for the various imaging modalities: MRI, CT scan, conventional radiology, mammography, ultrasound and densitometry.
- Coordinate agendas taking into account the availability of radiologists, equipment, examination durations and any emergencies.
- Verify the administrative completeness of files, medical prescriptions and information necessary for the examinations.
- Maintain liaison with prescribing doctors and their secretariats for examination requests, additional information and document transmissions.
- Work closely with radiology technicians and radiologists to ensure the smooth running of the daily schedule.
- Coordinate requests from care units, the operating theatre, the day clinic and other departments of the clinic.
- Supervise the preparation, sending and archiving of reports, images and medical documents.
- Follow up on requests for transmission of images and results to doctors and partner institutions.
- Follow up on requests from insurance companies and other administrative partners.
- Manage special situations, urgent requests and first-level patient complaints.
- Ensure compliance with confidentiality, medical secrecy and data protection.
- Train and support new secretariat staff.
- Participate in improving the administrative and organisational processes of the radiology department.
- Actively contribute to the quality of the patient journey and the overall smooth running of the radiology department.
Qualifications
- Medical secretary diploma
- Minimum 1 year experience in the medical field essential
- English mandatory
- Perfect command of IT tools (Word, Excel, Outlook, etc.)
- Excellent writing skills and knowledge of spelling, medical terminology
- Versatility, organisation and autonomy in task execution
- Dynamism, responsiveness, proactivity and speed of execution
- Good interpersonal skills
- Very good stress management and ability to work in a team
- Flexibility
- Excellent presentation
