The Theodor Kocher Institute (TKI; https://www.tki.unibe.ch ) is an institute of the Faculty of Medicine at the University of Bern with a research focus on inflammatory processes in the central nervous system. Our secretariat is the hub of the institute – a lively place where staff, students, and guests meet. We see ourselves as a team that supports each other and contributes together to the success of the institute.
For our director, Professor Britta Engelhardt, we are looking for an organizationally strong and approachable personality who enjoys proactively and reliably supporting the director in all administrative and organizational matters and ensuring that everything runs smoothly in the background.
We are looking for a personal assistant for our director, Professor Britta Engelhardt, starting January 2026 or by arrangement.
The position is initially temporary and includes the option of a later permanent appointment.
Tasks
- Independent and proactive management and prioritization of the director's agenda: planning and coordinating all appointments, meetings, and trips.
- Organization of business trips domestically and abroad – from preparation to billing.
- Planning, preparation, and execution of meetings, events, and conferences, including minute-taking and follow-up.
- Correspondence in German and English (occasionally French) with high linguistic and stylistic accuracy.
- Approachable and trustworthy contact person for staff, students, and guests of the institute.
- Confident use of the Microsoft Office suite as well as university IT systems and administrative software.
- Taking on general secretarial tasks and representing the team when required.
Requirements
- Completed commercial training with several years of professional experience – ideally in executive assistance, organization, or travel/tourism management.
- Empathetic, reliable, and service-oriented personality who is committed and joyful in supporting the well-being of staff and maintains an overview even in demanding situations.
- Strong organizational talent with careful, structured working methods and a keen eye for detail.
- Enjoyment in planning and coordinating international appointments, trips, and conferences.
- Confident communication in German and English (French is an advantage).
- High flexibility and resilience as well as enjoyment of diverse tasks in a lively international university environment.
- Proactive and responsible working style combined with discretion, loyalty, and an open, appreciative interaction with people.
