Document Manager – 100% (Fixed-term contract of at least 6 months)
Our recruitment agency, mandated by one of its clients, a major player in the Geneva medico-social sector, is looking for a Document Manager for a fixed-term contract of at least 6 months at 100%.
You will join an institution recognised for the quality of its support for residents and contribute to ensuring rigorous, secure document management that complies with regulatory requirements. Your responsibilities
As a Document Manager, you will manage and monitor residents' files throughout their lifecycle, ensuring their quality, security and compliance.
In this capacity, your main responsibilities will be to:
- Manage document handling and archiving of residents' files, both paper and electronic formats.
- Ensure administrative quality, completeness and compliance of files.
- Develop, implement and update filing rules, document nomenclature and classification plans.
- Ensure compliance with legal, regulatory and institutional requirements regarding document retention, confidentiality and data protection.
- Guarantee traceability, accessibility and security of files throughout their lifecycle.
- Conduct regular checks on document quality and follow up on any anomalies with the relevant departments.
- Support and advise colleagues on best practices in document management.
- Participate in digitisation projects, optimisation and continuous improvement of document processes.
- Develop, update and improve procedures, guidelines and tools related to document management.
Your profile
You are recognised for your rigour, organisational skills and ability to structure information effectively in a demanding environment.
You hold the following qualifications:
- HES diploma, federal certificate or higher education in information management, archival science, document management, records management or an equivalent field.
- Alternatively, commercial training complemented by a recognised specialisation in document management or archiving.
- At least 5 years of proven experience in a similar role.
- Experience in a healthcare facility, nursing home, public administration or any environment subject to regulatory requirements is a real asset.
- Excellent mastery of document management, filing and archiving principles.
- Good knowledge of legal requirements related to document retention and data protection (LPD/GDPR).
- Proficiency in common office software tools.
- Ability to write procedures, formalise document standards and support their implementation.
- Excellent organisational, analytical and planning skills.
- High rigour, methodical approach and constant concern for quality.
- Sense of responsibility, confidentiality and professional ethics.
- Initiative and orientation towards continuous improvement.
- Ability to work independently while collaborating effectively with various stakeholders.
- Good interpersonal skills, service orientation and communication abilities.
