Who are we?
The Building Services (SBat) is a central service of the State of Fribourg whose mission is to build, acquire, rent and maintain the real estate portfolio of the State of Fribourg, comprising approximately 700 properties.
Attached to the Finance & Administration section, the administrative assistant / Front Office holds a key transversal role within SBat. They ensure the smooth daily operation of the service, support teams in their administrative tasks and guarantee rigorous follow-up of files, orders, correspondence and procedures. As a primary point of contact for internal and external partners, they directly contribute to the quality of service provided and the smooth running of SBat's activities.

To strengthen our administrative team, we are looking for an experienced administrative assistant capable of working in a dynamic environment where priorities can change rapidly and where service quality is a priority.
Your tasks
Within the secretariat of the Building Services, you play a central role in the smooth administrative functioning of the service. Your main activities are as follows:
- Handle telephone reception and welcome visitors
- Manage incoming mail and prepare outgoing correspondence
- Manage the management's calendar and organise meetings for the Service
- Enter and monitor orders and be the reference person for these processes and the use of the ERP
- Support and assist colleagues in the use of administrative tools and procedures
- Prepare and ensure administrative follow-up of public procurement procedures, including preparing documents related to awards and administrative decisions
- Monitor files in document management tools
- Ensure consistency of administrative processes within the team
- Participate in the continuous improvement of administrative processes and contribute to the evolution of working methods
- Provide occasional support to HR administration
Desired profile
- Commercial employee CFC or equivalent qualification
- 5 years proven experience in a demanding administrative role requiring a solution-oriented approach, initiative and continuous improvement
- Excellent command of Microsoft 365 and ease with IT tools, notably SAP S/4HANA and/or Axioma
- With an excellent sense of public service, you have an interest in administrative procedures requiring organisation, rigour and precision
- Ability to quickly understand new processes
- Ability to manage multiple requests simultaneously, you enjoy teamwork and contact with a variety of interlocutors
- Excellent command of French, both spoken and written, and good knowledge of German
