To support its teams, the Municipal Police Service is looking for the future person to fill the position of Administrative Assistant (M/F)
Permanent position at 80% - Grade 10
Your mission:
- Assist management in monitoring files, drafting correspondence as well as various documents (reports, minutes, assessments, internal regulations, calls for tenders, awards, statistics, public enquiries, procedures, authorisations for events, signs and advertising, etc.);
- Ensure the organisation and administrative follow-up related to the service’s provisions;
- Keep maps up to date (security/traffic);
- Processing and managing files and correspondence listed in the schedule for the entire service;
- Establish and monitor purchase orders and financial statements with budget allocation;
- Manage investments, resolutions and explanatory notes;
- Manage the follow-up of decisions of the Municipal Council and the Administrative Council;
- Ensure internal and external communication (Municipal magazine, website, various documents, etc.), provide information to the public;
- Cover the reception desk and respond to public enquiries.
Your profile:
- You hold a commercial professional maturity certificate or an equivalent qualification;
- You have proven experience in a similar position, experience within a public administration is an asset;
- You demonstrate excellent command of French as well as good writing skills;
- You have very good mastery of IT and office tools;
- You have a very good sense of organisation and know how to take initiative;
- You have a strong sense of hospitality, public service and diplomacy;
- You have good stress resistance and show flexibility and responsiveness to unforeseen events related to our service;
- You are friendly, dynamic and possess a good team spirit.
