A distinguished and highly confidential Family Office is seeking an experienced Executive Assistant to provide dedicated support to family members within a dynamic and international environment.
This is a pivotal role requiring discretion, precision, and the ability to seamlessly manage both business and private matters.
Executive Assistant
Key Responsibilities:
- Provide dedicated administrative and organisational support to the family members
- Manage complex and ever-changing calendars, including business commitments, private appointments, and international engagements
- Coordinate extensive international travel arrangements (private aviation, commercial flights, accommodation, visas, detailed itineraries)
- Liaise with external advisors (banks, asset managers, lawyers, tax advisors, trustees) and act as a central point of coordination
- Support investment-related administration, including documentation follow-up and record keeping
- Coordinate family events and confidential gatherings
- Maintain strict confidentiality across all financial, legal, and personal matters
- Ensure smooth day-to-day operations of the Family Office
Profile:
- Proven experience as an Executive Assistant within a Family Office, Private Office, C-level environment, or financial services
- Fluent in English and French (written and spoken); additional languages are an asset
- Exceptional organisational skills with the ability to manage both business and private matters seamlessly
- High level of discretion, integrity, and emotional intelligence
- Strong attention to detail and ability to anticipate needs in a fast-paced, high-expectation environment
- Excellent interpersonal skills
- Advanced proficiency in MS Office Suite (Outlook, Excel, PowerPoint, Teams)
- Proactive, autonomous, flexible, and service-oriented mindset
