Secretary at the Ambulatory Surgery Centre (ASC)
The Ambulatory Surgery Centre (ASC) of the CHUV is looking for a secretary / file manager at a 70% workload, on a permanent contract. The starting date is scheduled for 2 November 2026 or to be agreed.
Context
The Lausanne University Hospital (CHUV) is one of the five Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, the CHUV plays a leading role in medical care, medical research, and education.
The Ambulatory Surgery Centre (ASC) provides care for patients undergoing outpatient surgical procedures. Its secretariat plays a central role in the patient journey, ensuring coordination between medical and nursing teams, various centre stakeholders, and external partners.
Mission
- You ensure the reception of patients and visitors, as well as the administrative and IT management of files
- You manage patient movements in institutional systems (AXYA, DIGISTAT, SOARIAN) and ensure the preparation, follow-up, and transmission of their files to medical and nursing teams
- You answer telephone calls and manage appointments, including CPC consultations and post-operative follow-ups
- You prepare and send patient summons and manage appointment postponements and cancellations
- You coordinate the administrative care of patients between the different centre stakeholders and maintain links with external medical practices
- You handle routine secretarial tasks, including receiving and distributing mail, drafting correspondence, and updating operational documents
- You ensure the quality of reception and the image of the centre.
Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification; medical secretary training is an asset
- You have at least 2 years of experience in medical or administrative secretarial work
- You have excellent command of French and medical terminology
- You have good knowledge of office software; proficiency in institutional tools is an asset
- You demonstrate autonomy, diplomacy, excellent organisational skills, and good interpersonal qualities
- You are available and flexible and participate in service continuity by covering absences or holidays during desk hours, from 6:30 am to 6:00 pm.
