For Hälg Facility Management AG, a company of the Hälg Group, we are looking for a Team Leader Administration 100% for our branch in Zurich.
Your Challenge
- Management of all administrative tasks together with the branch manager Zurich
- Handling general administrative and secretarial tasks
- Supervision of reception, telephone switchboard, and maintenance of internal work systems
- Support and leadership of the two-person team
- Customer care and addressing their needs/concerns
- Management of the Zurich location with all arising tasks
- Monitoring tickets in the CAFM system (Computer Aided Facility Management)
Additional task: Assistance to the branch manager - Administrative & organizational support (compiling KPIs for management meetings, creating presentations, minute taking, appointment coordination, etc.)
- Customer and stakeholder communication (supporting customer care, AVOR contract documents, customer retention measures, employee retention measures, minor marketing tasks, etc.)
- Project and special tasks (planning and execution of events, participation in projects, process optimizations, etc.)
Your Profile
- Successfully completed commercial training and several years of professional experience in a similar position
- Well-groomed appearance and good manners
- Confident German language skills in spoken and written form, any additional language is an advantage
- Very good MS Office user skills, CAFM systems & SAP ByD are an advantage
- Service- and team-oriented as well as quality-conscious, flexible, reliable, and resilient personality
- Independent and structured way of working
- Very good organizational skills
