Associated with the University of Basel, Swiss TPH combines research, teaching and services at local, national and international levels. Around 1,000 people from 96 countries work at Swiss TPH in areas such as infectious diseases and non-communicable diseases, environment, society and health, as well as health systems and programmes.
To support our new Head of Research department, we are looking for an Assistant to the Head of Research (80 - 100%) from 1 August 2026 or by arrangement.
With us, you can bring your organisational strengths into an international research environment with significant impact. In addition to providing administrative and organisational relief to the Head of Research (400 staff), you will coordinate central processes and contribute to the efficient advancement of global health projects. The personnel management of the 7 assistants in the Research Admin Team complements this exciting role in our institute.
Your tasks
- Appointment coordination with internal and external partners, managing the Head of Department’s agenda, and organising meetings, events, workshops and smaller functions
- Responsibility for completing general administrative tasks: minute-taking, correspondence, expense management, invoices, maintenance of address databases
- Preparing and obtaining decision-making documents for briefings, reports, structured overviews, budgets and monitoring
- Coordinating the support of 35 research group leaders
- Organising, preparing and following up on research conferences (Research Council and Senior Research Council) as well as the weekly Research Plenary
- Coordinating collaboration with other departments of Swiss TPH
Your profile
- At least 5 years of experience as an assistant, preferably at executive level
- 3-5 years of leadership experience and good delegation skills
- Excellent oral and written German and English skills, good French skills are an advantage, as well as strong intercultural competence
- Highly independent working style, great sense of responsibility, strength in prioritising and high flexibility with short-term requests without losing sight of quality standards
- Service-oriented, critical, innovative and forward-looking personality with very good interpersonal skills (highest reliability and discretion), high resilience and team-oriented nature
- Excellent knowledge of MS Office and quick grasp of new IT tools
