Key information about the position:
Reference: CLS/RH/2026.780 / Contract type: Permanent contract at 80% / Hours: according to schedule from Monday to Friday with two shifts: 7:00-16:00 and 7:30-16:30 / Start date: as soon as we find the right person / Location: in the heart of Lausanne (M2 stop "Riponne" or Bus 2, 3 or 21 stop "Beaulieu-Jomini")
Why do we need you?
To strengthen the service, we are currently looking for a Booking Assistant. Within this team, you play an essential role in organising the journey of our patients. From booking their stay to planning their intervention or treatment, you ensure the administrative coordination of inpatient and outpatient hospitalisations, in close connection with the various relevant contacts.
What will you be expected to do?
- Plan and coordinate surgical, interventional procedures and medical treatments, both inpatient and outpatient
- Schedule the operating programmes of the Operating Theatre, the Outpatient Centre, Cardiology and Interventional Radiology in collaboration with the heads of the relevant departments
- Coordinate interventional radiology programmes with the anaesthesia service
- Prepare the administrative management of the patient, notably through the creation of the pre-admission file and its transmission to Case Management
- Be a key contact for patients, medical practices and internal teams, ensuring the processing and follow-up of requests by phone and email
- Work in a network with many internal partners: Pre-anaesthetic Consultation, Case Management, Bed Management, Admissions, Operating Theatre, Outpatient Centre and interventional services
- Contribute to the continuous improvement of the organisation by participating in operational cells for optimising the operating programme and the anaesthetic site outside the theatre
- Maintain close collaboration with the offices of accredited doctors to ensure effective coordination and smooth communication
Who will you be working with?
What do we expect from you?
Essentials:
- Diploma as a medical secretary or equivalent qualification
- Good knowledge of medical terminology
- Very good command of common IT tools and ease in using various specialised software
- Excellent communication and interpersonal skills
- Excellent organisational skills, allowing you to manage numerous requests and priorities simultaneously
- Strong decision-making and prioritisation ability, with aptitude to quickly find suitable solutions to the constraints of different departments
- Good stress resistance and ability to maintain an overview in complex or urgent situations
- Strong sense of discretion and confidentiality
Your assets:
- Proven experience in a hospital environment, ideally in a similar role
- Experience in planning operating or interventional programmes
- Knowledge of OPALE and ClevEHR software
