In all functions and business areas, the Coordinator for Payroll and HR Administration plays an important role in ensuring that all back-office tasks are carried out correctly so that the employee lifecycle runs smoothly and in full compliance.
Permanent contract, full-time, in Geneva
CONTEXT AND PURPOSE OF THE ROLE
Chanel in Switzerland is responsible for the distribution of fashion, perfume, and beauty products as well as watches and jewelry and employs about 300 people.
Switzerland is also the regional headquarters of a region consisting of 5 countries (Brazil, Mexico, Panama, India, and Switzerland) employing a total of about 1500 employees.
The purpose of this role is to support the "Reward & People Solution Director" in all local payroll and HR administration aspects as well as to conduct quantitative and qualitative analyses on strategic reward issues, such as budget or market benchmarks.
WHAT IMPACT CAN YOU HAVE AT CHANEL?
You report directly to the Reward and People Solution Director and are independently responsible for the following aspects:
Payroll and HR Administration:
- Overall support of payroll and salary processing processes, management of social security and employee insurance
- Ensuring the accuracy of personnel administration from hiring to termination of employment
- Management of vacation, overtime, and absence reports
- Supporting employees and managers in HR matters
- Handling and clarifying questions related to time management
- Preparing vacation and overtime regulations
- Processing statistics and reports
- Assisting with general HR-related administrative tasks
Human Resources Information System (HRIS):
- Acting as master user of the HRIS; maintaining, adapting, and further developing processes in Workday as needed.
- Monitoring performance review and time management processes.
- Managing HR databases in our HRIS (Workday)
- Contacting IT departments for changes, issues, or solutions.
- Advising and guiding employees on all HRIS-related questions.
HR Data Analysis and Budget Tracking:
- Providing and tracking HR metrics, including sociodemographic and turnover data.
- Creating on-demand dashboards on personnel management topics.

WHAT YOU BRING TO THIS ROLE
- You master the processing of payroll, salary payments, income tax, and social security contributions for Switzerland with an external payroll provider.
- You take responsibility for integrating processes between HR and finance departments.
- You are able to coordinate global payroll systems via external providers and collaborate with local HR representatives.
- You have experience monitoring performance review and time management processes within the HRIS.
- You act as a contact person for IT departments and handle changes, issues, or solutions.
- You are able to advise and guide employees on HRIS-related questions.
- You are skilled in creating on-demand dashboards on personnel management topics.
- You master all MS tools, especially Excel.
- You have excellent interpersonal and communication skills.
- You are bilingual (French and English), German is a great advantage.
