Job Description
You will join the Organisation and Quality team of the HUG Training and Development Centre as a Project and Training Programme Coordinator. You will be responsible for the operational management of a portfolio of training programmes and projects, whether academic or diploma courses or internal training programmes.
In this context, as the first point of contact for HUG departments and directorates as well as partner training institutions, you support the various stakeholders within the Training and Development Centre, particularly the Training Officers, in organising and deploying training schemes, aiming to maximise resource efficiency and satisfaction of all stakeholders.
Your process-oriented approach and continuous improvement mindset enable you to propose harmonisation and optimisation of the deployment of training projects and programmes, while ensuring their quality and coherence with training objectives, specific needs, constraints, and deadlines.
You build trusting relationships and demonstrate diplomacy in your regular internal and external exchanges. As a key contact person, you carry out communication and promotional activities useful to the programmes and projects you manage.
In parallel, and relying on contributions from the Training and Development Centre secretariat team, you manage associated budgets and supervise administrative processes (pricing, organisation and monitoring of decisions, contracting, etc.), as well as logistical aspects of delegated activities (room management, provision of appropriate equipment, coordination of speakers, etc.). You also ensure at all times the quality and consolidation of data, in accordance with regulatory frameworks, notably data protection.
You demonstrate flexibility and openness to support the Organisation and Quality Sector's mission during its organisational transition. More concretely, you provide support to colleagues coordinating other training schemes organised by the CFD.
Qualifications
You hold a university Bachelor’s degree, a University of Applied Sciences degree, or an equivalent qualification. A project management certification is an additional asset.
You have proven experience of 5 years managing high-volume activities requiring rigour and good organisational skills, during which you have developed knowledge in process management or project management, ideally in one of the following sectors: logistics, hospitality, after-sales service, or complex event organisation. Knowledge of training schemes and/or HR operations is an advantage.
You have good knowledge of the MS Office suite, particularly Excel, for backward planning of activities and monitoring various stages. You are familiar with one or more systems such as LMS, HRIS, or ERP, enabling you to understand their functioning. You are comfortable with common project management tools.
You can independently manage a significant workload requiring multiple interactions while achieving visible results. You take necessary initiatives and propose solutions adapted to needs while respecting the applicable framework and confidentiality inherent to the HR function.
You have an excellent customer service sense, and your assertiveness, interpersonal skills, and professional ethics enable you to maintain a firm stance in a complex environment. Your organisational skills and rigorous management of processes and regulations assist you in your daily mission.
