The EOC, the multi-site hospital of Ticino, is present with its institutes throughout the entire cantonal territory for a total of 1,000 beds. To complete our team in the Nursing and Medical-Technical Area of the General Management, we are looking for a
Assistant to the Management of the Nursing and Medical-Technical Area EOC (80%)
Profile:
We are looking for a proactive, organised person with strong interpersonal skills, capable of supporting the Area Head and contributing concretely to the smooth running of the area and its related centres of competence. Placed in a dynamic and cross-functional context, they will assume a key role in coordinating activities, managing information flows, and preparing the documentation necessary for decision-making processes.
The person we seek can work autonomously and collaboratively, managing multiple tasks simultaneously, correctly defining priorities, and adapting flexibly to different needs. They possess a strong sense of responsibility and communicate clearly and effectively with interlocutors at various levels, ensuring discretion, reliability, and confidentiality in handling sensitive information.
The person must be able to:
- support the Area Head and centres of competence in the more organisational aspects, ensuring efficiency in work processes;
- actively collaborate with various services and with internal and external interlocutors of the general management and EOC, providing cross-functional support;
- manage specific tasks, pending issues, and deadlines independently, identifying priorities and anticipating the operational and organisational needs of the Area;
- prepare presentations, reports, summaries, ensuring clarity, accuracy, and quality of content;
- manage correspondence and communications, ensuring a structured and effective information flow among different interlocutors, adapting communication depending on the interlocutor;
- coordinate meetings and gatherings, handling planning, preparation of documentation, minute-taking, and monitoring decisions and related pending issues;
- perform administrative tasks within their competence, preparing and managing necessary documentation (correspondence, minutes, reports, and other documents) using available IT tools, ensuring correct archiving;
- contribute to the implementation of cross-functional projects and initiatives, taking on additional tasks according to the evolving needs of the area.
Required qualifications:
- Federal certificate of capacity as a commercial employee (or equivalent qualification) and/or higher;
- excellent knowledge of Italian and good knowledge of German and English;
- excellent command of main IT and digital tools (Office package);
- training as an Executive Assistant will be considered an advantage;
- ability to work independently, in a structured and solution-oriented manner, effectively managing priorities and deadlines;
- previous experience in a similar position will be considered an advantage;
- interpersonal and communication skills, mediation ability;
- high sense of responsibility, discretion, and confidentiality in managing information;
- flexibility, initiative, and orientation towards continuous change.
