As a member of our central administrative contact point of the institute, you ensure a smooth process and actively support the program management and institute members.
- Institute administration: You take on general secretarial tasks, are responsible for data and address management, and actively assist the administrative institute management in operational business.
- Financial and personnel administration: You support invoicing of seminar fees, accounts payable and receivable accounting, as well as administrative personnel processes.
- Seminar and program management: You are responsible for the administrative organization and coordination of our continuing education programs and seminars. This includes managing registrations, communication with participants and lecturers, as well as organizing the event infrastructure.
- Participant support: You act as a competent contact person for our participants – from inquiry to program completion.
- IT coordination: You are the first point of contact for all IT concerns of the institute staff. You manage user accounts and access rights and coordinate more complex cases with the university's central IT department.
- Content management: You maintain the content on our website and support the creation of marketing materials and presentations.
For this position, you ideally bring the following qualifications and characteristics:
- Commercial basic training or a comparable qualification.
- Several years of professional experience in a similar administrative role, ideally in the university, education, or event management environment.
- IT affinity and experience in IT administration.
- A pronounced organizational talent and the ability to efficiently prioritize administrative and technical tasks.
- Confident German and good English skills in spoken and written form.
- Very good user knowledge of the MS Office suite and experience with Windows environments; knowledge of CMS and CRM systems is an advantage.
- A strong service mentality, high initiative, and an independent, solution-oriented working style.
