Project Coordinator

We are presently expanding our Basel Office with the following position:
Project Coordinator
The Project Coordinator has full or part logistical responsibility for several events per year including meetings and congress attendance of different sizes. The position involves close cooperation with Project Managers and teams, but also requires ability to multi-task and take the lead, working individually on projects in a high-pressured environment.
Your responsibilities:
Leadership & Relationship Management
- Maintaining enthusiasm and professional standards within the event/ project teams
- On site management, including suppliers and team management
- Coordination of operational roles within the events/project teams
- Representing MCI and participating at selected industry events, exhibitions, presentations and social events
Project Management
- Direct involvement in the management of projects attributed, including event planning, budgeting, contracting, quality of work, client management etc...
- Logistics management (venue and supplier selection, negotiation and contracting, registration management, accommodation management and travel arrangements)
- Participating in production and presentation of proposal to clients (concept, planning, timeline, budget, administrative tools)
- Implementing projects (operational and financial) in accordance with approved budgets, KPIs, SLAs and timelines
- Regular internal reporting on project planning and operational progress as well as on client contact
- Participating in event debriefs, gathering client feedback and implementing this on future projects
- Regular and frequent communication with clients including monitoring of client satisfaction
- Setting, communicating and maintaining timelines and priorities on every project
- Delivering meetings and events on time within budget, meeting and exceeding client’s expectations
- Be able to maintain the same efficient and qualitative service during the back up of projects
Financial Management
- Financial management and cost control (budgeting, invoicing, accounting, reconciliation and closure)
- Final reconciliation (operational and financial) of all projects handled
Your profile:
- A minimum of 2 years’ experience in the industry
- Fluency in English and German, additional European languages are considered a plus (such as French)
- Excellent knowledge of Microsoft Office
- High level of project management, organisational and time management skills
- Excellent written and oral communication skills
- Ability to make decision, prioritize and remain calm under stress
- Strong relationship management and interpersonal skills
- People management skills, to the level of managing a team pre-event and on site
- Strong supplier management and negotiating skills
- Operating of budgets/financial control
- Problem solving skills
- Experience working in an international environment
- Prepared to work independently with minimum supervision, taking personal responsibility for the assigned projects
