As the Executive Assistant & Office Manager, you are a vital part of our client's core team in Switzerland. You will be supporting the CEO as his Executive Assistant and additionally act as the Office Manager of a brand-new state of the art office in Zug. In the coming months you will support the build-up of the local team while managing the CEO's business affairs and ensuring the smooth running of the office.

Description

Executive Assistant tasks:

  • Prepare meetings and take minutes for the management
  • International travel management for the CEO including detailed agenda preparation
  • Preparation and follow-up of various documents as well as conducting research
  • Prepare contracts for various colleagues and partners
  • Welcome guests and customers and ensure they are well taken care of
  • Inbox management including correspondence in German and English
  • Organize internal and external events

Office Management tasks:

  • Ensure that facilities are kept intact, and daily business can commence
  • Act as the first point of contact for various solution and service providers
  • Support the on and off boarding of new employees
  • Always remain approachable for employees when general inquiries arise
  • Order office supplies, order company events and gatherings
  • Support with HR related topics

Profile

  • Successfully completed commercial education
  • At least five years of professional experience in a comparable position within an international environment
  • Excellent German and English knowledge, any additional language skills are a plus
  • Strong organizing and coordinating skills
  • Ability to network, co-think and think ahead
  • Open-minded and communicative personality that finds joy in working
  • Experience in HR and/or Marketing are advantageous
